This list does not represent all of the possible documentation for every film please speak with the producer of your project for any additional documentation needed.

1. Pre-Production Documentation

  • Script and Script Breakdown

    • Final version of the script and detailed breakdown, including scene numbers, props, wardrobe, location needs, and any special effects.

  • Storyboard and Shot List

    • Visual and written plans for each shot, including camera angles, shot types, and framing.

  • Budget and Financial Plans

    • Detailed budget breakdown, including equipment, talent, locations, props, and contingency funds.

  • Production Schedule and Timeline

    • Overall timeline with key milestones for pre-production, shooting days, and post-production.

  • Location Agreements and Permits

    • Signed location agreements, necessary permits, and any related documentation for filming rights.

  • Casting Agreements and Talent Contracts

    • Signed contracts with all talent, including specific terms, payment schedules, and roles.

  • Crew Contracts and Job Assignments

    • Signed contracts with crew members, including roles, responsibilities, and employment terms.

  • Insurance Documents

    • Copies of production insurance policies, including general liability, equipment, and talent coverage.

  • Equipment Rental Agreements

    • Contracts and terms for any rented equipment, detailing return dates and liability.

  • Risk Assessment and Safety Plans

    • Analysis of potential risks and detailed safety plans, especially for high-risk activities.

 

2. Production Documentation

  • Daily Call Sheets

    • Detailed daily schedules distributed to the cast and crew, including call times, locations, scene breakdowns, and safety notes.

  • Daily Production Reports

    • Summaries of each day’s activities, completed scenes, incidents, and time tracking.

  • Continuity Logs

    • Detailed records of scene and character continuity, including reference photos and notes on prop placements, costumes, and makeup.

  • Shot Logs

    • Records of each shot taken, including notes on quality, preferred takes, and camera settings.

  • Prop and Set Inventory Log

    • Documentation of props, costumes, and set pieces used daily, including storage, check-out, and check-in records.

  • Asset and Equipment Check-In/Check-Out Logs

    • Logs for all equipment usage, detailing who checked it out, its condition, and any maintenance needs.

  • Incident and Safety Reports

    • Detailed reports of any incidents or near-misses on set, including safety incidents and how they were addressed.

  • Visitor Logs

    • Records of all non-production personnel on set, including sign-in/out times and escort details.

 

3. Post-Production Documentation

  • Post-Production Schedule

    • Timeline and deadlines for editing, sound design, color grading, and final deliverables.

  • Editing Logs and Notes

    • Notes and logs on editing decisions, including selected takes, cuts, and continuity considerations.

  • Sound and Music Licensing

    • Documentation for all licensed soundtracks, sound effects, and music rights used in the production.

  • Color Grading and Visual Effects Notes

    • Detailed notes on color grading and visual effects decisions, for reference and continuity.

  • Quality Control (QC) Reports

    • Reviews and reports from quality control screenings, noting any issues for correction.

  • Final Asset Inventory and Return Logs

    • Documentation for the return of rented items and final inventory for F7 Studios’ owned assets.

  • Wrap-Up Reports and Lessons Learned

    • Summary report covering challenges, successes, and recommendations for future productions.

 

4. Legal and Compliance Documentation

  • Release Forms

    • Release forms for talent, background actors, and location owners, granting F7 Studios rights for use.

  • Copyright Documentation

    • Documentation of copyright ownership for the script, footage, music, and other intellectual property.

  • Distribution and Licensing Agreements

    • Contracts for any licensing, distribution, or exhibition agreements with third-party platforms.

  • Archival and Record Retention Documentation

    • Final storage and archival plan for production files, ensuring long-term accessibility and compliance with retention policies.
